1. Scope
This policy applies to information handled through the HHM Core Client App, HHM Scout, authorized client workspaces, checkout, report delivery, document processing, and related support interactions. It does not replace a separate notice that applies to another HHM relationship.
2. Information we handle
Depending on the service, information may include your name, business and contact details, account and subscription identifiers, selected plan, billing status and limited payment-event details, profile settings, property addresses and identifiers, research requests, report activity, messages, files and document metadata, forms, agreements, estimates, device and browser details, sign-in and security activity, and support communications. Payment-card details are handled by the payment processor and are not intended to be stored in Scout.
3. How information is used
We use information to authenticate users; create and administer subscriptions; enforce plan, seat, report, daily, and reanalysis limits; research requested properties; generate, deliver, revise, and secure reports; scan and process authorized documents; support communications; maintain security; prevent misuse; diagnose problems; improve reliability; comply with legal obligations; and respond to requests.
4. How information is shared
Information may be shared with authorized HHM personnel and service providers that support payments, hosting, authentication, property research, document analysis, communications, file storage, security, analytics, and service operations. Information may also be disclosed when required by law, to protect rights or safety, or during an authorized business reorganization. We do not authorize providers to use service information for unrelated purposes.
5. Property documents and report access
Submitted documents may be scanned for safety, matched to the requested property, extracted for relevant facts, compared with existing report evidence, and retained with the applicable report or audit record. Do not upload documents you are not authorized to provide. Public samples and guest links do not intentionally expose private account files. Report and file access depends on account, tenant, property, and sharing permissions; notify HHM promptly if access appears incorrect.
6. Data security
We use administrative, technical, and organizational safeguards designed to protect information. No online system can guarantee absolute security. Keep your credentials confidential, use a secure device, and report suspected unauthorized access promptly.
7. Retention
Information is retained for as long as reasonably necessary to provide authorized services, maintain records, resolve issues, enforce agreements, and meet legal or operational requirements. Retention periods vary by information type and context.
8. Your choices and requests
You may contact HHM to request access, correction, or deletion of personal information, subject to identity verification and applicable legal, security, billing, fraud-prevention, and recordkeeping requirements. Subscription cancellation is handled separately; see Cancellation & Refunds.
9. Children
The app is intended for authorized HHM clients and account users. It is not directed to children under 13, and HHM does not knowingly collect personal information from children under 13 through the app.
10. Changes to this policy
We may update this policy as the app or legal requirements change. The effective date above identifies the current version. Material changes may also be communicated through an appropriate app or account notice.
